What personal information we collect from clients, contracted phlebotomists, and website visitors — how we use it, who we share it with, and the choices you have.

Phleb-Finders, LLC ("Phleb-Finders," "we," "us," or "our") takes your privacy seriously. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to our website, our staffing and scheduling services, and our text messaging (SMS) program.
01 Who This Policy Covers
We collect information from three groups of people, and this policy applies to all of them:
Clients — the laboratories, clinics, medical offices, and other organizations that engage us to supply phlebotomy staffing, along with their staff contacts.
Phlebotomists — the contracted phlebotomists who accept assignments through us, and applicants who apply to join our network.
Website visitors — anyone who browses phlebfinders.com or submits a form to us.
02 Protected Health Information Is Not Covered by This Policy
HIPAA carve-out
Phleb-Finders acts as a Business Associate under the Health Insurance Portability and Accountability Act ("HIPAA") when performing services for clients who are covered entities.
Any protected health information ("PHI") we access, receive, maintain, or transmit in that role — including patient identifiers, appointment details, and specimen or test information — is not governed by this Privacy Policy. It is governed by HIPAA, by the Business Associate Agreement ("BAA") between us and the client, and by that client's own Notice of Privacy Practices.
We use and disclose PHI only as permitted by the applicable BAA and HIPAA. We do not use PHI for marketing, and we do not sell PHI. If you are a patient with a question about your health information, please contact the laboratory, clinic, or provider that arranged your service; they are the covered entity responsible for your records.
The remainder of this policy describes how we handle ordinary business and personal information, which is a separate category from PHI.
03 Information We Collect
From clients and their staff contacts
Name, job title, and employer
Business email address, phone number, and mailing address
Service and billing records, including invoices, purchase orders, and payment history
Correspondence with us, including support requests
From phlebotomists and applicants
Name, email address, phone number, and mailing address
Professional information: certifications, licenses, credentials, work history, references, availability, and skills
Verification information: government-issued identification and, where an assignment requires it, results of background screening or credential verification performed by a screening provider
Assignment records: shifts accepted, locations, hours, and status updates
Payment and tax information needed to pay you, such as bank account details for direct deposit and taxpayer identification information for Form 1099 reporting
From website visitors
Any information you choose to submit through a form on our site
Standard technical information collected automatically by our website host, including IP address, browser and device type, pages viewed, and referring page — see Section 8 for more on cookies and analytics
We do not collect Social Security numbers except where required for tax reporting or background screening, and we do not knowingly collect information from anyone under 18.
04 How We Use Your Information
We use personal information to:
Match phlebotomists to assignments and schedule coverage for client facilities
Send assignment notifications, scheduling updates, job status changes, and job requirements to contracted phlebotomists, including by text message
Verify credentials, licensure, and eligibility to work an assignment
Invoice clients, pay contracted phlebotomists, and meet tax reporting obligations
Send confirmations, service updates, and other communications about work you have with us
Provide customer support and respond to inquiries
Maintain records, resolve disputes, prevent fraud, enforce our agreements, and comply with legal obligations
Operate, secure, and improve our website and services
We do not use your personal information to make automated decisions that produce legal or similarly significant effects about you without human review.
05 How We Share Your Information
We share personal information only in the situations described below.
Payment processing. We use Melio to send and receive payments. When you pay us or when we pay you, the information needed to complete that transaction — such as your name, business details, and bank account or card information — is collected and processed by Melio under Melio's own privacy policy. Phleb-Finders does not store full bank account or payment card numbers on our own systems. Melio maintains SOC 2 Type II and ISO/IEC 27001 certification and works with PCI DSS Level 1 certified card processors.
Website hosting. Our website is hosted by Squarespace, which stores form submissions and standard site analytics on secure servers.
Scheduling and workforce software. We use a scheduling and contact management platform to store assignment records, availability, and contact details, and to coordinate staffing. The provider may access this information only to deliver the service to us.
Clients and facilities. When we place a phlebotomist on an assignment, we share the information the client reasonably needs to receive that service — typically the phlebotomist's name, credentials, and scheduling details.
Service providers. We share information with vendors who perform services for us, such as background screening providers, our messaging provider, accountants, and IT support. They may use your information only to perform those services for us and are bound by confidentiality obligations.
Legal and safety. We may disclose information when we believe in good faith that it is required by law, subpoena, court order, or other legal process, or where necessary to protect our rights, protect the safety of any person, investigate suspected fraud, or enforce our agreements.
Business transfers. If Phleb-Finders is involved in a merger, acquisition, financing, or sale of assets, information we hold may be transferred as part of that transaction. We will require the recipient to honor the commitments in this policy or notify you of any material change.
We do not sell your personal information, and we do not share it with third parties for their own marketing or advertising purposes.
06 Text Messaging (SMS) Program
By providing your mobile number and opting in through our sign-up form, you consent to receive recurring SMS text messages from Phleb-Finders relating to assignment notifications, scheduling, job status updates, and job requirements.
Message frequency varies based on your assignments and availability.
Message and data rates may apply.
Reply STOP to opt out at any time. Reply HELP for assistance, or contact us at (855) 236-3031.
Opting in to SMS is optional and is not a condition of purchasing any goods or services or of working with us. Providing a mobile number is not required to use our services.
Carriers are not liable for delayed or undelivered messages.
Mobile information sharing
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Information shared with our messaging service provider is used solely to transmit the messages you have requested and for no other purpose.
07 Email Communications
If you receive marketing or promotional emails from us, you may opt out at any time using the "unsubscribe" link at the bottom of the message, or by emailing privacy@phlebfinders.com. You will still receive transactional emails that are necessary for scheduling, assignments, invoicing, or payment.
08 Cookies and Website Analytics
Our website uses cookies and similar technologies, primarily those set by Squarespace, to keep the site functioning, remember your preferences, and understand how visitors use our pages. Most browsers let you block or delete cookies through their settings; blocking them may affect how parts of our site work. We do not use cookies to serve you advertising, and we do not permit third-party advertising networks to track you on our site.
09 How We Protect Your Information
We restrict access to personal information to personnel who need it to do their jobs, and we require our vendors to maintain appropriate safeguards. Our principal vendors — Melio and Squarespace — use industry-standard protections including encryption of data in transit and at rest, multi-factor authentication, and independent security audits.
No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security. If you believe your interaction with us is no longer secure, please contact us at privacy@phlebfinders.com.
10 How Long We Keep Your Information
We retain personal information for as long as needed to provide our services and for a reasonable period afterward to meet our legal, tax, accounting, insurance, and recordkeeping obligations — generally at least the length of the applicable statute of limitations. Payment and tax records are kept as long as required by law. Assignment and credentialing records for contracted phlebotomists are retained while you remain in our network and for a period afterward in case a client, regulator, or auditor raises a question about an assignment. When information is no longer needed, we delete it or de-identify it. Retention of PHI is governed by the applicable BAA rather than this section.
11 Your Rights and Choices
You may:
Access the personal information we hold about you
Correct information that is inaccurate or out of date
Request deletion of your information, subject to records we are required to keep by law or by contract
Opt out of marketing emails and of our SMS program at any time
To exercise any of these rights, email privacy@phlebfinders.com or call (855) 236-3031. We may need to verify your identity before acting on a request, and we will respond within 45 days or sooner where the law requires. Exercising these rights will not cause us to deny you services or treat you differently.
Depending on where you live, your state may give you additional privacy rights. Contact us at the address above and we will work with you to honor them. Requests about protected health information should be directed to the covered entity that arranged your care, as described in Section 2.
12 Third-Party Links
Our website and messages may link to sites we do not control. This policy does not apply to those sites, and we are not responsible for their privacy practices. We encourage you to read the privacy policy of any site you visit.
13 Children's Privacy
Our website and services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us at privacy@phlebfinders.com and we will delete it.
14 Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised "Last Updated" date. If we make material changes to how we handle your personal information, we will provide more prominent notice, such as by email or text where appropriate. We recommend reviewing this policy periodically.
